This policy explains what personal information we collect when you use FreeMarkIt, why we collect it, how we protect it, and when — and only when — we share any part of it with another member.


1. Who we are

FreeMarkIt (freemarkit.co.za) is a community exchange platform. Members (Changers) list items they no longer need (Offers) so other Changers can collect them for free, using a community currency called Marks.

FreeMarkIt is operated by ReMarkIt (Pty) Ltd (registration number K2026421025), a company registered in the Republic of South Africa. ReMarkIt (Pty) Ltd is the responsible party for your personal information as defined under the South African Protection of Personal Information Act, 4 of 2013 (POPIA).

2. Information we collect and why

We only collect information that is necessary to run the platform. The table below lists every category of personal data we hold, where it comes from, and what we use it for.

We do not collect payment card details, national identity numbers, race, health information, or any other special personal information as defined by POPIA.


3. How we protect your information

  • Encryption at rest. Sensitive personal data — including your mobile number, your addresses, and the content of private messages between Changers — is encrypted in our database using strong, industry-standard encryption (AES-256). Even if our database were accessed without authorisation, these fields cannot be read directly.
  • Passwords. Passwords are never stored in plain text. We use a one-way hash so that even we cannot read your password.
  • Access controls. Only support administrators with a legitimate operational need can access personal data in the admin panel.
  • No unnecessary retention. Closed Offers (cancelled, donated, or lapsed) are automatically removed from active views after a configurable retention window. If you delete your account, your personal profile data is removed from active use.

Private messages between Changers are encrypted at rest and are visible only to the two participants in a conversation (and, where necessary, to administrators investigating a reported abuse, fraud, or Terms breach). Even so, please do not share highly sensitive personal information (such as identity numbers or financial details) in messages or in public Offer listings.


4. Contact-information sharing — your choice, your control

This is the most important privacy control on FreeMarkIt.

Your phone number and email address are never shown publicly on the site. They are only ever shared with another Changer in the following circumstances, and only to the extent you allow:

  1. An exchange is in progress (you have been awarded an Offer, or you have awarded your Offer to someone).
  2. You have set the corresponding sharing preference to Yes in your profile.

You control two independent toggles in your profile:

  • Share my phone number — when ON, your mobile number is visible to the other party in an active exchange.
  • Share my email address — when ON, your email address is visible to the other party in an active exchange.

You can turn either or both toggles OFF at any time. When a toggle is OFF, that piece of contact information is never disclosed to another Changer, even during an active exchange. In that case you can still communicate and arrange collection through the platform's private messaging.

We do not sell, rent, or otherwise disclose your contact details to any third party, advertiser, or marketing list.


5. Messaging between Changers

FreeMarkIt includes a private one-to-one messaging feature so a donor and an interested Changer can ask questions and arrange an exchange about a specific Offer without revealing their contact details.

  • Messages are visible only to the two participants in a conversation.
  • We may use the content of messages to investigate reported abuse, fraud, or breaches of our Terms.
  • Messages are retained for as long as needed to support the exchange and for dispute resolution.

6. Location data

Your stored address is used to calculate approximate distances between you and nearby Offers. The full address is never displayed to other Changers. Distances shown to other Changers are bucketed (e.g. “within 5 km”, “within 20 km”) so your precise location is not revealed.

Location coordinates are provided by Google Places at the time you enter your address. We store the resolved coordinates; we do not track your device location in real time.


7. Public visibility of your Offers and item photos

FreeMarkIt is a public exchange platform. When you post an Offer, the listing — including its title, description, item condition, category, and the photos you upload — is intended to be seen by other Changers so they can find and request your items.

  • Search engines. Because Offer listings are public, they (and the item photos in them) may be discovered, crawled, and indexed by search engines such as Google or Bing, and may appear in search results. We do not control how third-party search engines cache or display this content.
  • Promoting FreeMarkIt. We may use the photos of items you upload to promote and illustrate the FreeMarkIt platform — for example in featured-item displays on the site, and in our own marketing on channels we operate (such as our social media pages and newsletters). When we do this, the images are used anonymously: we do not attach your name, username, or any other detail that identifies you, and we do not share these images with third-party advertising networks or sell them to anyone.

By posting an Offer you consent to these uses of your listing content and item photos. Please bear this in mind when choosing what to photograph: do not include faces, registration numbers, documents, or anything else you do not want to be publicly visible in an item photo.


8. Notifications

We send notifications about activity relevant to you — for example when someone requests one of your Offers, when your Request is accepted, or when you receive a message.

  • Email notifications are sent to your registered email address.
  • Browser/device push notifications are sent only if you explicitly opt in by enabling push on a device. You can disable push at any time, either in your profile preferences or in your browser/device settings.
  • Messaging channels (future). We may in future offer notifications through messaging or social platforms such as WhatsApp, SMS, or similar services. Where we do, these channels are opt-in: we will only use them if you choose to enable them and, where required, provide the necessary details (such as your mobile number). You can disable any such channel at any time in your profile preferences.

You can control which notifications you receive, and on which channels, using the preferences in your profile. Using a messaging channel means your message content and the contact details needed to deliver it (e.g. your mobile number) are shared with that channel's provider to deliver the notification — see Section 10.


9. Cookies and technical data

FreeMarkIt is built on Joomla CMS. Joomla sets a session cookie to keep you logged in. We do not set advertising cookies. We may use analytics tools that set cookies or similar technologies to measure usage (see Section 10). You can disable cookies in your browser, but doing so will prevent you from logging in.

Your IP address, basic device and browser information (such as your browser type and user agent), and where enabled the pages you view, are logged when you use the platform (see Section 2 — Activity log). We use this for security and abuse prevention, to understand how the platform is used so we can improve it, and to monitor system performance and reliability.

We use analytics tools to help us understand usage and improve the user experience. We analyse this information in aggregate and do not use it to build advertising profiles or track you across other websites.


10. Third-party service providers and partners

To operate FreeMarkIt we use a limited number of trusted third-party service providers (often called “operators” under POPIA). We share with them only the information they need to perform their function, and we require them to protect your information and use it only for that purpose. The providers and partners we currently use, or may use, include the following categories:

  • Address and mapping services. When you enter your address during profile setup, your address query is sent to a mapping provider (currently Google Places) to resolve it to coordinates. The provider's own privacy policy applies to that request. We do not pass your name or account details to the mapping provider.
  • Email delivery. Service notifications (e.g. “Your Request was accepted”) are sent via our mail server or an email delivery provider. Email addresses are used only to deliver messages you would expect to receive.
  • Push delivery. If you enable push notifications, delivery is handled by the push service operated by your browser or device vendor (e.g. Google, Mozilla, Microsoft, or Apple). We send only the notification content and your subscription's delivery details to that service; their own privacy terms apply to that delivery.
  • Messaging and social platforms (future). If you opt in to notifications via a messaging platform such as WhatsApp (operated by Meta) or an SMS gateway, the notification content and the contact details needed to deliver it (such as your mobile number) are shared with that provider to deliver the message. The provider's own privacy terms apply, and the provider may process this data outside South Africa (see Section 10). We use these channels only to deliver notifications you have asked to receive — not for advertising.
  • Hosting and infrastructure. Our platform and database are hosted by infrastructure providers who store data on our behalf under appropriate security and confidentiality obligations.
  • Delivery and logistics partners. Where an exchange involves an item being shipped rather than collected in person, we may use courier or delivery partners (within South Africa or elsewhere) to fulfil the delivery. In that case we share only the information needed to complete the delivery — typically the recipient's name, delivery address, and contact number — and only with your knowledge.
  • Payment and financial service providers. If FreeMarkIt introduces paid features or commercial transactions, payments will be processed by regulated third-party payment providers and financial institutions. We do not store full payment card details on our own systems; these are handled directly by the payment provider under their own security standards (such as PCI DSS) and privacy terms.
  • Analytics tools. We use analytics tools to understand how the platform is used and to improve the user experience. These tools may collect usage data such as pages viewed, device and browser information, and approximate location derived from your IP address. We use such tools to view information in aggregate, not to build advertising profiles or to track you across other websites.
  • Professional and compliance advisers. We may share information with our advisers (e.g. legal, accounting, or auditing) or with regulators and law-enforcement authorities where this is necessary to comply with the law, exercise or defend legal claims, or prevent fraud or abuse.

As FreeMarkIt grows, we may engage additional or replacement service providers and partners in any of the categories above. When we do, we will continue to apply the same principle: share only what is necessary, require the provider to protect your information, and update this policy where the change is material. We do not sell your personal information, and we do not use any service to build cross-site advertising profiles of you.


11. Cross-border processing

Some of the third-party services we use — for example mapping providers (Google Places) and the push notification services operated by your browser or device vendor — process data on servers located outside South Africa. Future providers (such as email, hosting, messaging platforms like WhatsApp, or payment providers) may also process data abroad.

Where your personal information is transferred across borders in this way, we do so only to deliver the service you have requested, and on the basis of your consent to this policy and the contractual necessity of operating the platform, as permitted under section 72 of POPIA. We take reasonable steps to ensure that such recipients are bound to handle your information responsibly and to a standard comparable with POPIA.


12. How long we keep your information

  • Account data — kept for as long as your account is active.
  • Offers — active Offers are kept indefinitely. Closed Offers are retained for a rolling window (currently 90 days from closure) for dispute resolution, then removed from member-facing views.
  • Messages — retained for as long as needed to support the exchange and for dispute resolution.
  • Marks ledger — kept for the life of your account; the ledger is append-only for integrity reasons.
  • Activity log — kept for security and audit purposes and purged when no longer needed.
  • Notifications log — kept as a delivery record and purged when no longer needed.
  • Push subscriptions — kept until you disable push on that device or it becomes invalid.

Certain transaction and compliance records may be retained longer where the law requires it.


13. Your rights under POPIA

As a South African data subject you have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate information — you can update most details directly in your profile.
  • Object to the processing of your information for marketing purposes — use the notification preference toggles in your profile, or contact us.
  • Delete your account and associated personal data — contact us at This email address is being protected from spambots. You need JavaScript enabled to view it. and we will action your request within a reasonable time.
  • Withdraw consent where processing is based on your consent.
  • Complain to the Information Regulator of South Africa (www.inforegulator.org.za) if you believe we have handled your data unlawfully.

Some information may need to be retained for legal, security, or operational reasons even after such a request.


14. Children

FreeMarkIt is not intended for children under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has registered, please contact us so we can remove the account.


15. Changes to this policy

We may update this policy from time to time. When we do, we will update the effective date at the top of this page and, where the change is material, notify you by email or through a platform notice. Continued use of FreeMarkIt after a policy update constitutes acceptance of the revised policy.
